Appointing a Committee
Whoever said that organising a tour was a walk in the park? Identifying a tour committee should be the number one objective for a club aiming for a post-season break. With so much seasonal interaction required between players and officials you simply have to divide the responsibility… in order to at least maintain your sanity! A Tour Leader, Treasurer, Fundraising / Promotions staff, Press Officer (where necessary) and the all-important 'Social Secretary' should be appointed at the beginning of each season. Planning in advance will enable the 'Fundraisers' to add noughts to the club account and allow the Tour Leader to obtain the cheapest and best deals possible.

Choosing a Destination
OK, so the committee's up and running (no arguments as yet!) but you haven't got a clue where to go! No problem… simply call one of our staff who will offer you a broad range of touring destinations in relation to your respective sport and time of year that you are looking to travel. Whether it's a beach holiday, city break or something completely unique and personal to your club, Teamlink are guaranteed to offer it. If not, we'll create it!

Fundraising
The 'Tour Planning Guide' is issued to all teams that book their sports tour with Teamlink. Tried and tested fundraising methods, sponsorship advice, resort information and organisational tips are collaborated, offering assistance to groups or individuals that take on the demanding role and responsibility of arranging club tours.

Visa & Embassies
Teamlink will advise you if you require a visa to visit a certain destination. We can also arrange your Visa requirements for you or put you in touch with the relevant governing bodies to aid your applications. Tour Planning Pack

Legal Requirements
When a group undertake to arrange a tour involving accommodation and travel, the law states that the tour organizer must work in line with the EC directive on package travel regulations (1992).

A big part of the regulations (section 16-21) are in relation to financial protection and security. Simplified, A company, individual or otherwise when arranging a travel package that is made up of more than one element must be financially bonded in accordance with the EC Directive. The bottom line is, if you undertake to arrange your own tour, check your legal situation as you must comply with the Package Travel Regulations.

Our advise is, leave it to the professionals. Teamlink operate in accordance with the EC directives and are fully bonded with TRAVEL ORGANISER FAILURE COVER (TOFC) from TRAVEL & GENERAL INSURANCE COMPANY (TGIC). This protection gives you full financial protection against your bookings made with us.

Tours that involve air travel are covered separately under our ATOL Licence 5399 which is a LEGAL REQUIREMENT for any travel company making arrangements on behalf of a 3rd party.

In lieu of the market conditions following September 11th 2001 we now also apply Scheduled Airline Failure Cover to all our flight inclusive bookings (for a small premium) to protect our customers in the event of their scheduled Airline getting into financial difficulty.

Touring Kit

Going on tour is the pinnacle of your playing season, and there's nothing better than boarding your coach/flight on departure day with a bag full of brand new tour kit. Along with handling your travel and sporting elements, Teamlink also provide tour clothing - in association with our friends at PSM SPORTSWEAR. www.psm-sportswear.co.uk

Teamlink's decision to form a working relationship with PSM Sportwear was based upon similarities between our company goals. Our joint ethos is based upon providing a quality service for our clients, at affordable rates in the simplest possible way.

Insurance

Sports & Travel Cover for Club Tours

An essential part of organising a sports club tour at home or overseas is to arrange adequate insurance for your tour members. Governing bodies, including the RFU in England insist that touring sides take out appropriate cover prior to touring. It is a condition of booking your tour with Teamlink travel that you adhere to this request.

As specialists in the field, Teamlink have arranged a comprehensive and competitive insurance package that covers your touring needs. Because of the importance of having suitable cover we strongly recommend that you and all members of your party take out our insurance scheme, regardless of your sport. We have specially arranged a competitively priced scheme with Harrison Beaumont Insurance Services Limited, underwritten by Self Assured Underwriting Limited on behalf of Lloyds of London.

An insurance certificate containing the full details will be sent to you once you have paid the total insurance premium for your group and completed the required documentation including any details of pre-existing medical conditions. You may ask for a specimen copy of the insurance wording should you wish to examine it.

To book your tour insurance through ourselves please tick the relevant box on your booking form and return it together with the relevant premiums, as outlined below.

Premiums are inclusive of a 27% handling fee due to Harrison Beaumont Insurance Services and Insurance Premium Tax at 17.5%

This document is a Summary of Cover.  If you have chosen our insurance and paid your group premium, we will then pass on your details to our underwriters.  Upon acceptance, you will receive a Policy Wording Document.  This will contain details of the cover, conditions, and exclusions relating to Insured Persons, and are the basis on which all claims will be settled.
